Submittal software FAQ for project teams
Straight answers to the questions project engineers, project managers and operations leads ask before they move their submittals into Submittal. If your question is not here, write to [email protected] and we answer by email.

Product
What does Submittal do?
Submittal reads your project manual, finds every Part 1 submittals article, and builds the submittal register with one row per required item: spec section, paragraph reference such as 1.4.B, submittal type, description quoted from the spec, responsible company, reviewer and required-by date. You then group rows into packages, route them for review, collect stamps and export the log. The full walkthrough is on how it works.
Do we need to install an app?
No. Submittal runs in the browser, so there is nothing to install on the trailer desktop, the office laptop or the field tablet. Notifications and reminders arrive by email.
Does it work on a tablet?
Yes. The register, packages, review stamps and comments work in the browser on desktop and tablet, so a superintendent can check a stamped package against a delivery at the gate.
Can we import our existing Excel submittal log?
Yes. Import your current log from Excel or CSV, map the columns to spec section, description, type, responsible company, status and dates, and keep working from there. You can also run the spec reading on top of an imported log to catch items the old log missed.
Which export formats are available?
The submittal log exports to Excel, CSV and PDF at any time, transmittals export as PDF, and on Business and Enterprise the closeout binder exports as one PDF with all approved O&M manuals, warranties and certificates and a table of contents.
Which numbering formats do you support?
Every plan numbers packages by section, sequence and revision, for example 087100-002-R1 for the second door hardware package after one resubmittal. Team and higher plans add custom numbering, so you can match the format your contract or your company standard requires, with or without spaces in the section number and with your own revision prefix.
Spec reading and AI
Does it read scanned specs?
Yes. Scanned project manuals go through text recognition before the AI reads them, so older spec books and printed addenda work too. Clean digital PDFs give the best results, and every row still links back to the page it came from so you can check it.
What if the AI misses an item or reads one wrong?
Every row shows the exact spec paragraph it came from, so checking the register is reading, not hunting. You can add a row, merge two rows into one item, split a row that covers two submittals, or change type, description and responsible company in place. The spec to submittal log page shows the review step in detail.
Which submittal types does it recognise?
Product data, shop drawings, samples, test reports, certificates, warranties, O&M data, mockups and LEED or sustainability documentation, split into action, informational and closeout submittals the way the spec sections list them, for example a TPO membrane warranty under 07 54 23 or a TAB report under 23 05 93.
Is our spec text used to train AI models?
No. Spec text sent for reading is used only to build your register and is not used to train models.
Plans and billing
What counts as an active project?
An active project is a job your team is still working in. When you archive a finished job, it stays readable and exportable and does not count toward the active project limit of your plan. Limits and prices are on the pricing page.
How are AI spec pages counted?
Each page read by the AI counts once in the billing period. Deleting a project or a section does not return pages, and the allowance renews with your next billing period. Editing, routing, reminders and exports never use pages.
Can we try it before we pay?
Yes, once. The home page runs a one-time demo of the register builder on a sample section or a short PDF of your own. Plans start with Starter at 24 USD a month billed yearly or 49 USD month to month, and external reviewers and subcontractors join paid projects at no cost.
Can we cancel?
Yes, any time in the account. Your plan stops renewing and access continues to the end of the paid period. Payments are final, with the exceptions listed in the refund policy. Export your logs before the period ends if you want a copy outside Submittal.
Can we pay by invoice?
Enterprise yearly plans can be invoiced and paid by bank transfer. All other plans are paid by card through our payment provider, monthly or yearly.
Security and data
Where is our data stored?
Project data is stored with a hosting provider in the US and is encrypted in transit and at rest. Enterprise adds a contractual US data residency commitment and custom retention. Details are on the submittal software security page.
Who can see our projects?
Only the people you invite. Roles (admin, project engineer, subcontractor, reviewer, viewer) decide who edits the register, who uploads and who stamps, and external users see only the projects and items they are invited to.
Do you offer single sign-on and an audit log?
Yes, on Business and Enterprise. SSO lets your company sign in with its own identity provider, and the audit log records who changed a row, sent a package or applied a stamp.
Can we get all our data out?
Yes, at any time. The full log exports to Excel, CSV and PDF, every revision, stamp and comment stays in the version history, and archived projects remain exportable.
Team and reviewers
Do subcontractors and the architect need a paid seat?
No. External reviewers, the architect, engineers, consultants and every subcontractor join at no cost on every plan, with no limit on how many. Read more for subcontractors and for architects.
How does the review workflow run?
A package goes to GC review first, then to the architect and consultants. Each reviewer applies a stamp (Approved, Approved as noted, Revise and resubmit, Rejected or For record only) with comments and markups per page. A resubmittal creates the next revision and keeps the full history.
How do reminders work?
Required-on-site dates are back-calculated from review time and lead time, and whoever holds the ball gets an email reminder before an item is late. The overdue list shows every item past its date and who owes the next move.
How many internal members can we add?
Starter includes 5 internal members, Team 25, and Business and Enterprise have no limit. Internal members are the people of the company that holds the plan.
